Superior Skilled Trades is partnered with a well-established electrical contracting and industrial services company seeking a Fleet Coordinator to support its growing fleet and field operations.
This is a direct hire opportunity with a company that supports complex electrical, industrial, and field-service projects throughout the region. Position Summary
We are seeking a highly organized and detail-oriented Fleet Coordinator to support the day-to-day administration and compliance of the company’s fleet and equipment operations.
This position will be responsible for maintaining accurate fleet records, coordinating vehicle and equipment maintenance, monitoring inspections and compliance requirements, supporting DOT-related documentation, and assisting with fleet reporting and administrative functions.
The ideal candidate is detail-oriented, proactive, comfortable working with data and documentation, and able to manage multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities
- Maintain accurate records for company vehicles and equipment, including registrations, insurance, inspections, maintenance, fuel, and ownership documentation
- Coordinate preventive maintenance and repair schedules for company vehicles and fleet equipment
- Track oil changes, tire replacements, inspections, service intervals, and other required maintenance
- Monitor vehicle availability and coordinate repairs and service to minimize operational downtime
- Maintain records of vehicle and driver assignments, GPS systems, telematics, and fleet tracking platforms
- Coordinate appointments with repair facilities, dealerships, maintenance providers, and fleet vendors
- Track vehicle incidents, accidents, damages, repairs, and corrective actions
- Assist with maintaining driver qualification files and DOT compliance documentation, as applicable
- Support ELD and Hours of Service (HOS) recordkeeping for applicable drivers
- Monitor vehicle inspections and other regulatory requirements
- Assist with audits, inspections, and customer prequalification requests
- Prepare spreadsheets, reports, tracking documents, and compliance summaries for leadership
- Maintain accurate fleet databases and electronic documentation
- Assist with onboarding documentation and fleet-related requirements for new employees
- Work closely with EHS, Risk Management, field personnel, vendors, and leadership
- Maintain confidentiality of sensitive employee, driver, and company information
- Perform additional administrative duties and special projects as assigned
Required Qualifications
- High school diploma or GED required
- Associate degree in Business Administration, Logistics, Fleet Management, or related field preferred
- 2+ years of experience in fleet coordination, administrative support, compliance, transportation, construction, or a related field preferred
- Experience with vehicle or equipment records, maintenance scheduling, or compliance documentation preferred
- Strong data entry and document management skills
- Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and exercise sound judgment
- Working knowledge of DOT, OSHA, fleet, or workplace safety requirements preferred
- Experience in construction, industrial, electrical, or field-service environments is a plus

Work Environment
- Primarily office-based in Tampa, FL
- Monday–Friday, 8:00 AM–4:30 PM
- Regular interaction with field employees, fleet personnel, vendors, and service providers
